Your team stopped using the project tool? Try Leantime Leantime is an open-source project management tool for non-project managers: tasks can sit in milestones, and milestones link to goals, so a to-do can trace back to the goal it serves. Its core is AGPL-3.0 and self-hosted; plugins and the cloud plan are paid. Self-host it with PHP and MySQL or MariaDB, or with Docker. Kanban, table, list, timeline and calendar views, goals, docs, idea boards, canvases and timesheets are in the free core. In this video: - The problem: a work tracker so heavy that the real plan ends up back in the group chat - How Leantime works: a goal gets a number (start, now, target); milestones bundle tasks with a date and link to the goal - 3 real uses from the README and docs: My Work, one set of tasks in many views, and idea boards and canvases - The catch: goal numbers are updated by hand in the free core, paid plugins, no free hosted plan, and what self-hosting needs - Who it's for, an alternative (OpenProject), and how to try it How it works: a goal has a metric with a start value, a current value and a target (a number, a percent or money). Leantime's own tooltip says milestones "take a group of tasks, a date, and act a stepping stones on the path to a goal". The README says it was "Built with ADHD, dyslexia and autism in mind." (the makers' words). Three real uses (from the README and docs, v3.12.0): 1. My Work: each person sees their own to-dos grouped by due date, a calendar beside them, and the goals they're contributing to. 2. One set of tasks, many views: kanban board, table, list, calendar, and a timeline (Gantt) of milestones. 3. Think before you plan: idea boards, SWOT and Lean Canvas boards, and retrospectives in each project. Program-level and company-strategy boards are paid. Timesheets are in the core too: start a timer on a task or fill in a weekly timesheet, then export it as CSV. The catch: in the free core you update a goal's current value by hand; milestone progress doesn't feed into it. "Automated Goal Management" is only in the Pro plan or the plugins (Strategy Pro). Whiteboards, Custom Fields, Recurring Tasks and Program Plans are plugins "From: $39.00 / License", Notes and the MCP Server (beta) from $29.00, and the AI features (L.E.O.) need Pro or a bundle. Bundles with every plugin: $99.00 (1-3 users), $149.00 (up to 10 users), $319.00 (up to 25 users) per licence, with one year of updates (marketplace, 2026-10-21). Plugins carry their own licence. There is no free hosted plan: Leantime Pro is $10 per user per month billed monthly, or $8 billed annually, with a 14-day trial and 500 AI credits a month (pricing page, 2026-10-21). Self-hosting needs PHP 8.2+, MySQL 8.0+ or MariaDB 10.6+ and Apache or Nginx; backups (database, userfiles, .env, plugins) and upgrades are yours. 6 of the 24 releases in 2026 have a Security section, and v3.10.2 says "All self-hosted installations should upgrade." Support covers only the most recent version, and the upgrade guide says to skip v3.6.0 and v3.6.1. A daily anonymous usage summary is sent unless you set LEAN_ALLOW_TELEMETRY = false. Try it (needs Docker; use dummy data): following docs.leantime.io clone Leantime/docker-leantime, copy sample.env to .env, set the MySQL, LEAN_DB and session passwords, run docker-compose up -d and open localhost Links: Repo: Leantime/leantime Docs: docs.leantime.io Pricing: leantime.io Plugins: marketplace.leantime.io Alternative: OpenProject (GPL-3.0; its README lists portfolio management, Gantt charts, time tracking, cost reporting and budgeting; a free Community edition and paid Enterprise add-ons): opf/openproject Facts checked 2026-10-21 (Leantime v3.12.0, released 2026-10-15; 11,878 GitHub stars). An open-source option to consider (AGPL-3.0 core; paid plugins under their own licence), not an endorsement. Not affiliated with Leantime or OpenProject. One late task quietly broke your whole plan? Try OpenProject OpenProject is an open-source project management tool with Gantt charts and task dependencies: link work packages as predecessor and successor, switch the later one to automatic scheduling, and when one task slips, the dates after it move. GPL-3.0 and self-hosted with Docker or Linux packages and PostgreSQL. The free Community edition includes Gantt charts, scheduling, boards, time tracking, costs and budgets; the cloud and the Enterprise add-ons are paid. In this video: - The problem: one late task, and every date after it is quietly wrong - How OpenProject works: work packages in a Gantt chart, predecessor and successor links, automatic scheduling - 3 real uses from the docs: several projects on one timeline, a Kanban board, budgets with time tracking - The catch: manual scheduling is the default, paid Enterprise add-ons and prices, what self-hosting needs, frequent security fixes - Who it's for, an alternative (Leantime), and how to try it How it works: tasks, phases and milestones are work packages, shown as bars and diamonds in the Gantt chart. Right-click to add a predecessor or a successor. In automatic mode, a work package "will automatically start one working day after the finish date of the nearest predecessor" and moves when that date changes. A lag adds a planned gap in working days. Automatic mode needs a predecessor or children. Three real uses (from the user guide, checked 2026-10-21): 1. Several projects on one Gantt timeline, grouped by project, or folded down to their milestones: openproject.org 2. A Kanban board: move a card to another column and its status changes: openproject.org 3. Budgets: log hours by hand or with a start/stop timer, and logged time and costs are booked to the budget: openproject.org The catch: "By default, all work packages in OpenProject are manually scheduled", so links move no dates until you switch a work package to automatic. Paid Enterprise add-ons (pricing page, 2026-10-21) include Gantt chart PDF export, Team planner and baselines beyond yesterday (Basic), single sign-on and the MCP server (Professional), and portfolio and resource management (Premium). Plans per user per month: Basic €5.95, Professional €10.95, Premium €15.95, Corporate on request; minimums of 25, 25, 100 and 250 users as shown for on-premises. The free Community edition is self-hosted; the cloud is paid after a 14-day trial. The code is GPL-3.0; on your own server, a paid Enterprise token switches the add-ons on. Self-hosting needs PostgreSQL 16+ and, at minimum for up to 200 users, a quad-core CPU, 4096 MB RAM and 20 GB of disk; Docker Compose is the recommended install. Releases with security fixes shipped on 10 different days between 2026-02-26 and 2026-09-30, often backported to several release lines, so plan to upgrade. Try it (needs Docker; for testing, with dummy data): following openproject.org run the all-in-one image openproject/openproject:17 with your own strong SECRET_KEY_BASE, OPENPROJECT_HOST__NAME=localhost:8080 and OPENPROJECT_HTTPS=false, then open localhost. For production, the docs recommend Docker Compose.
